Position Summary:
The Assistant Managing Editor manages daily editorial office activities, provides oversight for the editorial office staff, and works closely with the Managing Editor, peer review partner staff, authors, and reviewers to ensure all manuscripts meet journal requirements and follow current policy and procedures. The Assistant Managing Editor also works closely with the Managing Editor to help reduce turnaround times and to ensure content is delivered to the publisher on schedule. The Assistant Managing Editor, working closely with the Journal’s peer review partner, will ensure accuracy and currency of editorial office process documentation, the editorial calendar, instructions for authors, reviewers, and editors while serving as customer representative to authors, reviewers, and other constituencies.
Primary Position Responsibilities:

  • Serve as the key daily and overall liaison with authors and editors, via email and telephone communications, providing updates on manuscript submission status, responding to inquiries, and conducting follow up, and providing technical support as needed. Provide effective communication, collaboration, and customer service to authors, reviewers, and other customers. Responsible for maintaining and updating yearly editorial calendar in collaboration with Managing Editor.
  • Provide daily management and oversight of the peer review process to ensure timely and appropriate handling of submitted papers.
  • Primarily responsible for ensuring adherence to established peer review policies and processes by editors, associate editors, and peer review partner staff.
  • Partner with Editors to create issue lineup and manage special journal sections including Science, Medicine and the Anesthesiologist, This Month in Anesthesiology, Reflections, and Infographics.
  • Regularly update the Managing Editor and/or Editor-In-Chief on the editorial pipeline and highlighting issues related to the timeliness or execution of all stages of the peer review process.
  • Maintain expertise in manuscript submission and peer review tracking system, staying up to date on operation of that system and maintaining documentation related to it.
  • Serve as primary daily operational liaison with peer-review system partner. Includes regularly updating Managing Editor on peer review partner performance and collaborating with Managing Editor in setting goals and advising on best practices.
  • Oversee and refine (as needed) the manuscript submission and peer review process including maintaining the editorial office SOP, Journal production style guide, Handling Editor manual, and the reviewer and author instructions, ensuring they are up to date. Communicate and reinforce process to Editors, authors, reviewers, and other stakeholders.
  • Collaborate with Managing Editor on ethical issues as they arise and to research solutions based on COPE guidelines and other best practices as assigned.
  • Refine, monitor, and expand author and reviewer stewardship programs in collaboration with Managing Editor.
  • Participate in all editorial board meetings and functions. In collaboration with Managing Editor, schedule and coordinate activities and meetings of the Editorial Board. Maintain database of Editors and Associate Editors, terms, and send annual appointments and agreements communications.
Position Qualifications:
  • Bachelor's degree required, preferably in English or Journalism.
  • Minimum 3 years of experience working in an academic publication environment; preferably with a peer-reviewed medical journal.
  • Minimum 3 years of experience in biomedical peer review process.
  • Knowledge and expertise with peer review and manuscript management systems (Editorial Manager, Scholar One, others as appropriate). Proficiency with Editorial Manager, currently used by the Journal, is highly desired.
  • Understanding of clinical and basic research in a biomedical/clinical discipline.
  • Understanding of copyrights and permissions.
  • Familiarity with digital communications, and digital and social networking technologies (i.e., Facebook, Twitter, YouTube, web videos, blogging, etc.), particularly as they affect or are affected by peer review.
  • Proficiency with Microsoft Office software including Word, Excel, and Outlook. Proficiency with Adobe Acrobat highly desired.
  • Highly developed interpersonal skills, demonstrating confidence and poise with a strong member-service orientation.
  • Ability to work cross departmentally and collaboratively and to bridge between staff members and volunteers.
  • Ability to manage large-scale projects from start to finish, maintain high level of organization and ability to multi-task effectively, managing overlapping projects. Strong follow-through to meet deadlines.
  • Ability to act independently within company policy, and in accordance with guidelines established by the Managing Editor.
