Position Summary:
The Meetings Coordinator will serve as a key member of the Meetings team. Reporting to the Director of Meetings, this individual will:

  • Provide administrative and project support to the Meetings Department for overall operations and the production of the ANESTHESIOLOGY® annual meeting, ASA ADVANCE: The Anesthesiology Business Event conference and numerous other in-person, hybrid, and virtual events.
  • Responsibilities include support for expenses, contracting and reporting, coordination of site visits, assisting with staff travel logistics for the annual meeting and ASA ADVANCE, and onsite staff office coordination during the annual meeting.  Provides logistic support for the ASAHQ Conference Centers.
 
Primary Position Responsibilities:
  • Provide administrative support for Meetings Department including but not limited to invoice processing and reconciliation, expense report processing, budget tracking, and developing appropriate reports to meet ASA objectives and goals.
  • Provide operational support for Meetings Department contracts, rewards accounts, and vendor relationships.
  • Coordinate site visits for all ASA meetings including but not limited to ANESTHESIOLOGY and ADVANCE meetings.
  • Provide logistic support and project coordination for events scheduled in the ASAHQ Conference Centers in Schaumburg and Washington D.C.
  • Provides support to the department for Requests for Proposals, pre and post-event reporting, presentation creation and other meeting related projects.
  • Provide support for staff travel for ANESTHESIOLOGY and ASA ADVANCE as necessary.
  • Provide support for special events planning for ANESTHESIOLOGY and ADVANCE as necessary.
  • Serves as the office coordinator for the onsite staff office during the ANESTHESIOLOGY annual meeting.
 
Position Qualifications:
  • Associates degree or equivalent required.
  • Minimum 2+ years of strong administrative experience. Project management and meeting coordination background, a plus.
  • Comfortable with high volume of public and member contact.
  • Proficiency with Microsoft Office.
  • Proficient in the use of SharePoint and various listserv tools.
  • Proficient with Personify or Association Management Systems preferred.
  • Experience supporting hybrid and virtual meetings, a plus.
  • Sound administrative skills that promote excellence in responsibilities.
  • Team spirit and flexibility are needed.
  • Excellent proofreading skills.
  • Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully and maintain confidentiality.
  • Ability to stay focused when work is interrupted on a frequent basis and in high stress environments.
