Position Summary:
The Meeting Planner is responsible for planning, coordination and execution of the annual ASA ADVANCE: The Anesthesiology Business Event conference. This position is responsible for planning and execution of the ANESTHESIOLOGY® annual meeting educational sessions and specifications. Support the efforts of the Meetings Department to provide organizational leadership to technology integration with meetings including hybrid and virtual experiences and implementing and advancing technology into the annual meeting and other meetings to enrich the experience for our attendees and members while contributing to strategies to assist with increasing revenues and controlling costs.
Primary Position Responsibilities:

  • Responsible for comprehensive event planning of the annual ASA ADVANCE: The Anesthesiology Business Event conference including future site sourcing, hotel negotiations and contracting support, budgeting, specification development and logistical coordination, onsite execution and post conference reconciliation.
  • Serve as the project lead for ADVANCE providing collaborative leadership to the cross-departmental team of stakeholders to produce a conference that aligns with strategic and budgetary objectives while achieving desired participant outcomes.
  • Serve as the primary liaison between the Meetings Department and the Marketing and Communications Department to promote and strategize external outreach for ADVANCE: The Anesthesiology Business Event and the ANESTHESIOLOGY annual meeting with input from the various Meetings Department staff and the Director.
  • Oversee logistical planning for the ANESTHESIOLOGY annual meeting educational session specs, virtual and in-person audio visual requirements, and digital signage within the convention center.
  • Serve as the Meetings Department primary liaison to the Education Department in support of the annual meeting and ADVANCE and coordinate collaboration between departments with input from other Meetings Department staff and the Director.
  • Oversee logistical planning for the ANESTHESIOLOGY annual meeting convention center public spaces, info counters, Resource Center, kiosks, childcare, research lounge and sponsor symposia.
  • Monitor expenses and other financials for all areas of responsibility and in collaboration with other departments on expense budgets to meet ASA objectives and goals.
Position Qualifications:
  • Bachelor’s degree in hospitality/meeting management or related field preferred.
  • Minimum 3+ years of related experience in meeting planning and logistics, including previous experience with a high volume of public / member interaction. Hotel experience (Convention Services, Catering, Sales and Operations) a plus.
  • Experience working with hybrid and virtual meetings required.
  • Association (membership organization) experience preferred.
  • Certified Meeting Professional (CMP) and Digital Event Strategist (DES) or similar certifications a plus.
  • Involvement and interest in industry organizations (PCMA, MPI, etc.) desired.
  • Knowledge in continuing professional education programs including familiarity with CME, PhRMA, and ACCME rules & regulations compliance related to meeting coordination preferred.
  • Computer proficiency in Microsoft Office.
  • Highly developed interpersonal skills, ability to network, and demonstrated high level of confidence and poise with a strong member service orientation.
  • Demonstrated personal integrity in negotiations with vendors and contractors and in communications with members and staff.
  • Ability to recommend and implement professional best practices.
