Position Summary:
WLM is a related organization of ASA. The mission of the Wood Library-Museum of Anesthesiology (WLM) is to “Advance Anesthesiology by Preserving and Sharing its Heritage and Knowledge.”
 
The WLM Senior Assistant will serve as a key member of the team. Reporting to the Director of WLM, this individual is responsible for maintaining the daily operations of the Wood Library-Museum of Anesthesiology office administrative functions by providing the full range of administrative support to WLM staff and researchers. Perform duties independently and demonstrate confidence and take ownership handling questions and phone calls. Communicate with a variety of stakeholders including members of the WLM Board of Trustees and Committees. Coordinate, implement, and complete standard projects as assigned.
 
Primary Position Responsibilities:

  • Provide day-to-day administrative support for the Wood Library-Museum of Anesthesiology, including primary phone support.
  • Efficiently manage and prioritize projects and tasks concurrently that support multiple team members, while working independently with minimal oversight.
  • Arrange and schedule detailed meetings and conference calls and ensure appropriate follow-up for WLM staff, Board and committee members. Work with Conference Center Manager on Schaumburg meeting and dinner logistics. Compile and distribute WLM Board Meeting reports.
  • Accurately record minutes for WLM Board Meetings and Executive Committee Teleconference Meetings.
  • Effectively communicate with a variety of WLM stakeholders, including Board members, Program and Committee members, donors, and American Society of Anesthesiologists staff and physician members. This requires a high level of finesse, diplomacy, and professionalism.
  • Process donor gifts, including gift information entry, creating acknowledgment letters.
  • Process vendor invoices and update/maintain vendor files.
  • Prepare and submit WLM Board expense reports for Accounting.
  • Assist with planning of WLM annual meeting and local events and dinners.
  • Proofread reports, presentations, program materials, communications and publications.
  • Resolve most questions and problems within area of work and refer more complex issues to higher levels.

Position Qualifications:
  • Associates degree preferred.
  • Minimum 1 year of previous administrative experience.
  • Experience with foundation, non-profit organization preferred.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook. Database experience a plus.
  • Excellent team player who fosters teamwork, personal responsibility, integrity, innovation, trust, and communication.
  • Sound administrative strategies and tactics that promote excellence in responsibilities.
  • Clear and consistent communicator (verbal and written) with excellent proofreading skills.
  • Ability to efficiently manage and prioritize many projects and tasks simultaneously that support multiple team members while working independently with minimal oversight.
  • Ability to identify and resolve problems in a timely manner; gather and analyze information skillfully.
  • Able to maintain confidentiality of information, demonstrate good decision-making and critical thinking skills as well as consistent attention to detail and follow-through.
  • Must be willing to adapt and/or flex to the demands of a rapidly changing work environment.
