Position Summary:
The AQI Coordinator is responsible for organizing complex and confidential projects surrounding AQI Board of Directors activities. Provides outreach to NACOR practices regarding invoicing, ASA membership status, and collections. Serves as AQI ambassador in ASA department meetings including finance, membership, and business development to improve processes. Offers administrative support to the AQI Director of Operations and the Quality Services Executive. This includes supporting routine administrative functions, assisting in creating documents, presentations, AQI Board and committee support, and other projects as assigned.
Primary Position Responsibilities:

  • Supports AQI Board of Directors (BOD) and AQI Summit on site meetings and conference calls, including preparatory agenda development, communication with BOD, onsite support at these meetings and drafting minutes.
  • Provides committee support including meeting coordination, creating agendas, ensuring adherence to AQI travel policies, and conducts appropriate follow-up.
  • Cross departmental collaboration to support lifecycle of NACOR and QCDR order form creation through invoice reconciliation and collections. Provides customer service on invoicing, membership status, and collections.
  • Supervises the maintenance, updating, and compliance of all official AQI Board governance documents, such as AQI bylaw requirements/ policy requirements, committee appointment process, conflict of interest, etc.
  • Coordinate AIRS MONITOR article calendar with authors and ASA Publications staff.
  • Processes and prepares cash expense and American Express reports. Reviews for accuracy all cash expense and American Express reports and submissions for staff that directly report to the AQI Director of Operations and ASA Quality Services Executive.
Position Qualifications:
  • Associates degree or equivalent required. Bachelor’s degree in business or related field preferred.
  • Minimum 2 years of strong administrative experience. Project and meeting coordination background, a plus.
  • Experience working in a member association and with key association executives and elected leaders a plus.
  • Proficient in Microsoft Office (preferably 2010 version) applications, webinars, and other productivity focused tools.
  • Excellent proofreading skills required.
  • Ability to discern confidential information and maintain confidentiality.
  • Ability to identify and resolve problems in a timely manner, gathering and analyzing information skillfully and maintaining confidentiality.
  • Self-directed and able to independently monitor the progress of tasks and projects; provide appropriate follow-up to supervisor when necessary.
  • Adapts to changes in the work environment, manages competing demands and can deal with frequent change, delays or unexpected events.
