Administrative Assistant (Information Technology) part-time
We’re looking for a detail-oriented and highly organized Administrative Assistant to support our Information Technology Department. This part-time role is ideal for someone who enjoys coordinating operations, managing processes, and keeping a department running smoothly.

JOB SUMMARY:
This position provides administrative support for the department director including scheduling appointments, answering in-coming calls, preparing documents and memorandums, and other general administrative duties. This position processes all technology procurement needs by obtaining quotes, preparing requisitions, and processing receipts. This position also obtains and tracks all technology maintenance and service contracts. Manages the document retention process for the organization. Prepares and processes document disposal applications. Tracks department purchases and expenses and prepares monthly reports for the director. Processes monthly meeting, committee, and board items as directed.
JOB DUTIES:
1. Coordinates all departmental procurement activities to include creation of purchase requisitions, receipt of goods, inventory tracking, obtaining quotes, and purchasing dispute resolution.
2. Tracks all hardware and software maintenance agreements and warranties and ensures all maintenance contracts are renewed and active.
3. Assists in the preparation of information and materials relating to the department’s annual budget.
4. Schedules and coordinates meetings, appointments and travel arrangements for the director and assistant director and maintains their calendars.
5. Coordinates the organization’s document retention process.
6. Monitors departmental spending and prepares status reports for director.
7. Sends village-wide operational and technical status notifications.
8. Creates, monitors, and submits committee and board meeting packets and recommendations via agenda management program.
9. Files and maintains various departmental documents in enterprise document management system.
10. Performs other duties as assigned.
QUALIFICATIONS:
1. Education equivalent to a high school diploma.
2. A minimum of two years of administrative work experience and responsibility.
3. Proficiency with current computer technology, job specific software, and customer service systems.
STARTING SALARY RANGE: $34.17 - $38.01 per hour working up to 25 hours per week. Salary dependent on qualifications. The salary range for this position is $34.17 - $49.55.
