Job Description
POSITION:              Event Manager
 
REPORTS TO:        President
 
Summary:
Reporting directly to the Schaumburg Business Association President, the Event Manager provides the following services to the SBA in a key professional staff position.
 
ESSENTIAL FUNCTIONS OF THE POSITION
Creation, planning, development, and implementation of all special events and programs, in an effort to meet and exceed all event revenue goals for the organization.
 
Oversight and support of ongoing networking events and programs, including but not limited to coordinating with venues, sponsors, and speakers; greeting attendees; invoicing and collections; sending thank you cards; and keeping detailed records.
 
Create and implement bundled sponsorship packages for members in collaboration with President.
 
Lead all Signature Events, exceeding net revenue goals. Implementation from inception to close. Requirements also include generating new ideas for each event, attendance building, securing sponsors, mailing thank you cards, invoicing and collections, and recordkeeping.
 
Signature Events include:
 
  • Good Morning Schaumburg (6 times/yr)
Establish budget; coordinate with venue (menu, set up, A/V, etc.); secure speakers and serve as point of contact; sell sponsorships and display table exhibitors; lead attendance building; secure raffle prizes and coordinate handouts/gifts for attendees; create agenda with speaking points and lead set up; coordinate photographer and post photos to website; announce upcoming events; send thank you cards; lead invoicing, collections, payables, and reconciliation.
 
  • Savour Wine Tasting (February)
Plan and execute all aspects of event, including budget, sponsorships, venue, wine and food providers, raffle, décor, keepsake pieces, marketing collateral, promotion, including web and social media; create special efforts to build attendance; manage licensing/permits, audio/visual, volunteer recruitment, event logistics, post event reconciliation, and follow up.
 
  • Ladies Golf Outing (July)
Plan and execute all aspects of event, including managing volunteer committee; establish and monitoring budget; secure sponsors; solicit participants and guests; coordinate with golf pro and venue; create marketing collateral, web/social media posting, and other promotion; coordinate raffle and other amenities for golfers; update special games and contests; secure licenses, permits, and insurance; recruit volunteers; promote activities by hole sponsors; post event reconciliation and follow up.
 
  • Golf Classic (May)
Plan and execute all aspects of event, including managing volunteer committee; establish and monitoring budget; secure sponsors; solicit participants and dinner guests; coordinate with golf pro and venue, including breakfast, lunch and dinner; create marketing collateral, web/social media posting, and other promotion; coordinate raffle and other amenities for golfers; update special games and contests; secure licenses, permits, and insurance; recruit volunteers; promote activities by hole sponsors; post event reconciliation and follow up.
 
 
  • Toast of Schaumburg (October)
Plan and execute all aspects of event, including managing volunteer committee;  establish and monitor budget and timeline; recruit sponsors and corporate tables; establish theme; create invitations and program; coordinate silent auction, raffle and/or other additional fundraising opportunities; select venue, entertainment, photographer, décor, menu and beverages; coordinate marketing material and promotions, including web/social media; coordinate awards, logistics, parking valet, agenda, speakers, audio/visual, and gifts; post event reconciliation and follow up.
 
  • Monthly and quarterly events and other special events
Plan and execute all other SBA events including, but not limited to Leadership Luncheons, Women in Business, Legislative Forums, New Member Orientations, Manufacturers Summits, Commercial Real Estate Summits, Technology Summit, Coffee and Contact Meetings, Board and Executive Board Meetings, as well as any other event coordinated or sponsored by the SBA not previously mentioned.
 
 
QUALIFICATIONS
  • 3-5 years’ experience with event planning and sponsorship coordination/sales
  • Strong background in sales, marketing, and promotions with a proven track record in achieving results; ability to create sponsorship packages, secure sponsors, and deliver on promises to sponsors
  • Computer proficiency in the use of Microsoft Office applications, internet, and database software
  • Excellent communication skills (written and verbal) and effective customer service skills
  • Outgoing, enthusiastic personality that encourages member involvement and vendor cooperation
  • Strong organizational & multi-tasking capabilities; ability to lead & manage volunteers/ committees
  • Attention to detail; time and project management skills, ability to meet deadlines with professionalism and accuracy, and high degree of self-motivation
  • Ability to develop administrative controls and process improvements
  • Ability to work independently and exercise tact in a nonprofit environment
  • A cooperative attitude in a supportive work environment
