Position Summary:
Provide broad administrative and clerical support for FAER Programs Specialist. Perform duties independently and demonstrate confidence and take ownership in handling questions and phone calls related to FAER grants and medical student/resident programs. Provide full administrative support for FAER grants and medical student/resident programs and assume responsibility for delegated administrative tasks.
Primary Position Responsibilities:
  • Efficiently manage and prioritize many projects and tasks concurrently that support FAER grants and programs, while working independently with minimal oversight.
  • Provide administrative support to FAER staff located on-site, including, but not limited to, word processing, scanning, photocopying, filing, answering phone calls/email requests, taking meeting notes, and preparing meeting minutes.
  • Edit application processes in online Grant Lifecycle Manager, pull reports, prepare communications and perform system mail merges.
  • Arrange and schedule detailed meetings and conference calls, facilitate hosting conference calls and web-based video conference calls, compile agenda materials, book travel, maintain appointment calendars, and ensure appropriate follow-up for FAER staff and, as appropriate, Board and committee members.
  • Effectively communicate with a variety of FAER stakeholders, including Board members, grant recipients, medical student/resident program participants, donors, and American Society of Anesthesiologists staff and physician members while maintaining a high level of diplomacy and professionalism.
  • Process grant check requests, create transmittal letters, obtain appropriate signatures, and make appropriate copies/scans for filing.
  • Prepare mailings, fact checking, creating and executing mail merges.
  • Assist with data entry and file maintenance of FAER information in database.
  • Proofread reports, presentations, program materials, communications and publications.
Position Qualifications:
  • Associate’s Degree preferred, or comparable work experience.
  • Minimum two years of experience as an administrative assistant.
  • Proficiency with Microsoft Office software, Microsoft Excel, Word and Outlook; significant database experience a plus.
  • Experience with grants management systems software. Proficiency with Foundant Grant Lifecycle Manager (GLM) a plus.
  • Experience with foundation, non-profit or fundraising organization a plus.
