Customer Service Clerk - Young Artists Program (Cultural Services) part-time

 

The Al Larson Cultural Center is looking for an enthusiastic and organized individual to support and grow our youth arts programming. This role is perfect for someone passionate about arts education, community engagement, and helping young creatives thrive.

 

JOB SUMMARY:

This position is responsible for the administration and coordination of the young artist programs at the Al Larson Cultural Center (ALCC). The role involves maintaining effective communication with participants and parents, overseeing program logistics, and supporting recruitment efforts to grow and sustain the program.

 

This position requires regular evening and weekend availability, including Sundays (noon to 8 pm), Monday evenings, Tuesday afternoons/evenings, and frequent Saturdays (in July/August).  


JOB DUTIES:

1.    Assists in the recruitment of new participants for youth programs through outreach efforts, including promoting programs to schools, community organizations, and the public. Supports enrollment efforts by providing program information and responding to inquiries from prospective participants and their families
2.    Keeps accurate records of program participants, including registration, attendance, and performance details.
3.    Maintains the musical library, processes audition sign-ups, schedules auditions, and coordinates with program directors to ensure music and materials are available for rehearsals and performances.
4.    Maintains clear, consistent, and proactive communication with staff, program directors, parents, and participants. Acts as a point of contact for parents and guardians, providing updates, addressing concerns, and facilitating involvement in program activities.
5.    Oversees accounts receivables (registration fees, merchandise sales, tour payments, et. al.) and payables (music purchases, sectional coaches, repairs, tour payments), ensuring records of all financial transactions are accurate and up to date.
6.    Coordinates the scheduling and logistics for sectional rehearsals and recruits specialists as needed. Oversees volunteer efforts for fundraising activities such as concession sales and raffles.
7.    Supports the management and regular updates of the youth orchestra website and social media platforms to engage with current and potential participants and the community.
8.    Coordinates and communicates physical set-up needs for rehearsals and performances with technical staff, ensuring all necessary equipment and materials (e.g., chairs, stands, instruments) are in place.
9.    Oversees coordination of off-site special performances and events.
10.    Performs other duties as assigned.

 

Work Hours & Availability Requirements
This position requires regular evening and weekend availability to support rehearsals, concerts, and events.
Typical schedule (September–May):

Sundays: 12 p.m.–8 p.m.
Mondays: 5 p.m.–9 p.m.
Tuesdays: 3 p.m.–7 p.m.

Additional seasonal requirements:

November and December: High-volume months with increased evening/weekend events.
July and August: Frequent Saturday shifts for the Summer Breeze Concert Series.

 

 

QUALIFICATIONS:
1.    Education equivalent to a high school diploma.
2.    Supplemental courses in general business, accounting, or arts management are preferred.
3.    Up to six months of experience in a customer service role.
4.    Proficiency with current computer technology, job-specific software, and customer service systems.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:
1.    Ability to work evenings and weekends as necessary.
2.    This position works in a typical office setting and various live performance areas.
3.    Prolonged periods of concentration, proofreading, and extensive computer work.
4.    Ability to cope with numerous interruptions.

 

SALARY RANGE:  $21.82 - $24.32  per hour working up to 19 hours per week.  Salary dependent on qualifications. The salary range for this position is $21.82 - $31.81.   This position is represented by a union; you may refer to the AFSCME collective bargaining agreement available on our website.
